POSITION SUMMARY

The Human Resources Coordinator provides administrative and operational support to the Human Resources department within a luxury hotel environment. Serving as a professional and welcoming resource for colleagues, leaders, candidates, and business partners, this position supports employee records, recruitment, onboarding, benefits, payroll coordination, employee communications, and hotel-wide engagement initiatives. The role requires exceptional discretion, polished communication, meticulous attention to detail, and a genuine commitment to luxury service standards and the colleague experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Responsibilities include, but are not limited to, the following:

  • Provide comprehensive administrative and operational support to the Human Resources department while consistently demonstrating the hotel’s luxury service standards.
  • Maintain accurate and confidential personnel files, HR records, workbooks, databases, and tracking reports in accordance with company procedures and applicable record-retention requirements.
  • Enter and process new hires, employee status changes, transfers, promotions, terminations, and other employee updates in the appropriate HR systems.
  • Compile, verify, and prepare HR data for recurring reports, audits, compliance needs, and leadership requests.
  • Support the HR Director with employee benefits enrollments, qualifying-life-event changes, documentation, communications, and general colleague inquiries.
  • Assist the HR Director  by collecting, reviewing, and routing employee information and payroll-related changes in a timely and accurate manner.
  • Support recruitment activities by reviewing incoming resumes and applications, coordinating interviews, communicating professionally with candidates, and maintaining recruitment records.
  • Coordinate pre-employment and onboarding activities, including new-hire documentation, orientation materials, uniform or access requests, and introductions to the hotel’s culture and service expectations.
  • Assist with colleague orientation and ensure new team members receive a warm, organized, and professional welcome to the hotel.
  • Respond to routine colleague questions and direct complex or sensitive matters to the appropriate Human Resources team member.
  • Prepare and distribute polished employee communications, notices, recognition materials, and HR-related information for hotel departments and colleagues.
  • Assist with planning and executing colleague events, recognition programs, wellness activities, community initiatives, Hyatt Regency Ontario events, and hotel-wide meetings.
  • Coordinate filing, scanning, document preparation, correspondence, mailings, and other assignments requested by the Human Resources Director.
  • Build collaborative working relationships with hotel leaders and operational departments, including Rooms, Food and Beverage, Housekeeping, Engineering, Finance, Sales, and Security.
  • Participate in special projects, process improvements, employee engagement initiatives, and other duties as assigned.
  • Maintain a polished professional appearance and a calm, solutions-oriented approach in a fast-paced hospitality environment.
QUALIFICATIONS AND EXPERIENCE
Education
  • High School Diploma or equivalent required.
  • Associate degree or college coursework in Human Resources, Hospitality Management, Business Administration, or a related field preferred.
Experience
  • Minimum of two (2) years of administrative, human resources, or hospitality experience preferred.
  • Previous experience in a luxury hotel, resort, private club, or other service-focused environment is highly desirable.
  • Experience supporting recruitment, onboarding, benefits administration, payroll, or employee records is preferred.
Knowledge, Skills, and Abilities
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Familiarity with HR information systems, applicant tracking systems, payroll platforms, or scheduling systems is preferred.
  • Exceptional organization, accuracy, follow-through, and attention to detail.
  • Ability to protect confidential information and exercise sound judgment when handling sensitive employee matters.
  • Excellent verbal and written communication skills with a polished, service-oriented communication style.
  • Strong interpersonal skills and the ability to interact respectfully with a diverse, multicultural workforce at all levels of the hotel.
  • Ability to prioritize competing demands, meet deadlines, and maintain composure in a high-volume environment.
  • Self-starter who takes initiative, anticipates needs, and works effectively with limited supervision.
  • Flexible and adaptable, with the ability to support a hotel operation that may require occasional schedule adjustments for orientations, events, or business needs.

PHYSICAL REQUIREMENTS / WORK ENVIRONMENT
  • Operate a computer, telephone, copier, scanner, and other standard office equipment.
  • Work is primarily sedentary in nature, with regular sitting and occasional standing, walking, reaching, bending, and movement throughout the hotel.
  • Occasionally lift, carry, or move office supplies, files, event materials, or similar items weighing up to 25 pounds.
  • Work is performed primarily in an office setting within an active hotel environment and may include periodic interaction with guests, candidates, vendors, and colleagues in public and back-of-house areas.
