Sales Coordinator

Key Role Responsibilities:
The Sales Coordinator will cultivate and maintain strong client relationships, expertly negotiate hotel rates and packages, and craft compelling proposals. Ensuring client satisfaction will be paramount, alongside managing the day-to-day operations of the sales department. This role also encompasses essential administrative tasks, including managing contracts, sales records, marketing materials, and generating insightful reports.
As a primary point of contact for incoming sales inquiries, the coordinator will respond promptly, professionally, and efficiently to all internal partners and external customers.
The ideal candidate will demonstrate exceptional time management, strong self-motivation, and proactive planning skills, coupled with keen organizational awareness and meticulous attention to detail.
Responsibilities include diligently completing assigned tasks, such as assisting with or managing room blocks, generating select reports, notifying clients of key dates (including cut-off or payment schedule deadlines), and preparing group resumes, event orders, BEOs, billing details, and other integral administrative aspects of booking and executing groups and events.
The coordinator will also orchestrate and implement the logistics for meetings, conferences, and events held at the hotel, ensuring all details, such as room setup, catering, and technical requirements, are expertly managed.
As needed, the Sales Coordinator will acquire a thorough understanding of the hotel’s food and beverage offerings (including products, pricing, and presentation), as well as the hotel’s function spaces, audio-visual capabilities, and other details crucial for successful group and event execution.
The role requires the ability to learn and effectively utilize digital sales systems and conceptual sales processes, such as Envision, Opera, Reserve, Colleague, and Microsoft Office. A strong understanding of the hotel’s sales strategies, including rates, fees, and budgeted goals, is essential for implementing these tools and resources to achieve individual and team objectives and efficiently complete job duties.
The Sales Coordinator will prepare and present reports at all necessary internal meetings, conference calls, and contribute to reporting, planning, training, and other communications required for this position.
