Role Description
A key role that assist both the Sales and Accounting department, the Coordinator will be responsible for assisting in the form of daily operations and projects.
Assist the Sales & Marketing departments as follows:
- Assists in the daily operations of the sales department – proposals, contracts, projects, file keeping and various administrative duties. PowerPoints, Excel spreadsheet ability.
- Responsible for sales and marketing coordination alongside the entire sales team
- Assists with various marketing projects: Audits of sites, programs and various duties.
- Maintains presence on Lanyon & Cvent portals, responding to all leads and inquiries.
- Assists in community opportunities.
- Assists in daily duties such as reader board notifications, gift certificates, mail outs, and follows all Hyatt weekly communication. Assists with assistance in sales client concierge service.
- Assists in events and catering office.
- Books, plans and executes all catering and meeting related internal meetings.
- Details small meetings ensuring customer satisfaction
- Responsible for in room amenities, EO printing and distribution and final invoicing.
- Responsible for assisting with general event sales functions within the property.
- Assists with maintaining the Envision database system on property level.
- Works with Events Manager with group arrival organization.
Assist the Accounting Department as follows:
- Day audit data entry and preparation
- Accounts Payable data entries
- Balance sheet account reconciliation
- Archives organization and clean up
- Critical date list data entry, data collection and filing
- Maintenance of the Night audit packages, approval process
- Owner relations monthly accounting data entry
- ECOTrack data entry
- Office Supplies Management
- Company Credit Card Expenses for all leaders
- HySat – Month end presentation preparation
Experience You Bring
- Ability to be creative and exceed guest’s expectations!
- Previous sales, hospitality or admin experience preferred
- Able to follow direction and think on own to maximize sales and office efficiency.
- Experience with Word, Excel, PPT
- Excellent communication skills both written and verbal.
- Excellent organizational skills, meeting deadlines and client due dates
- Team player who possesses good planning and problem solving and the ability to work with other departments to exceed customer service.
- Ability to work a flexible schedule. Schedule is 8:30 to 5pm however may include evenings and weekends upon business levels.
